The Hidden Cost of Moving Employees: Why Ghanaian Businesses Need to Rethink Corporate Travel

A GHS50.00 ride can cost a business much more than GHS50,00. Not because the fare changes, but because of everything that can happen around it.
For many businesses, employee travel is treated as one of those operational necessities that simply has to be managed. Someone needs to get to a client meeting. A team member needs transport to the airport. An employee working late needs to get home. A visitor needs to travel between an office and a hotel.
Individually, these journeys may seem straightforward.

Collectively, however, the process of managing them can create a much bigger administrative burden than the cost of the trips themselves suggests.

Behind a single work trip can sit a series of processes: an employee pays for transport, keeps proof of payment, submits an expense, a manager approves it, Finance processes it and someone eventually reconciles the cost.

Multiply that by dozens or hundreds of employees taking work-related journeys every month, and a routine transport expense can become a recurring administrative task spread across several teams or departments.

This is why businesses should start thinking differently about corporate mobility.

Employee mobility is no longer solely a question of getting someone from A to B. It increasingly sits at the intersection of Finance, HR and Operations, with each function dealing with a different part of the same journey
Finance wants visibility over spending and fewer fragmented claims to reconcile. Operations needs people to get where they need to be without unnecessary friction. HR is increasingly concerned with the employee experience, including how people travel when their work requires them to be somewhere beyond their usual workplace.

The problem is that these needs are often managed through separate processes, even though they all begin with the same thing: an employee needing to move.

The opportunity is to bring them together.
Digitalisation has already changed how businesses manage payroll, procurement, communications and customer relationships.

Corporate mobility deserves the same attention. The question is no longer simply whether technology can make booking a work trip easier, but whether it can remove some of the administrative work surrounding that journey.

When business travel is managed centrally, organisations can gain greater visibility over who is travelling, establish parameters around business travel and consolidate billing and reporting rather than relying entirely on individual reimbursements.

That matters because the real cost of a business journey is not necessarily limited to the price of the trip. There is also the time spent arranging, approving, processing and reconciling it.

Mobility is also an employee experience
There is another side to this conversation that businesses should not overlook.

How employees move is part of how they experience work.

For someone whose role involves travelling between meetings, visiting customers or moving between different company locations, transportation is part of the working day. The same is true for employees travelling early in the morning or late in the evening, or teams whose work does not fit neatly into traditional office hours.

A complicated transport process creates friction before an employee has even arrived at their destination.

That makes corporate mobility relevant to Human Resource department as much as it is to Finance or Operations department
As businesses think about attracting and retaining talent, there is increasing value in looking at the everyday processes that shape an employee’s experience. Not every improvement needs to be transformational.

Sometimes removing a repetitive administrative task or making a routine journey easier can have a meaningful impact on the working day.

Ghana’s changing business environment
This conversation is particularly relevant as Ghanaian businesses continue to digitise.

Technology has made it possible for companies of different sizes to access tools that were once largely associated with large corporate travel programmes. A growing business does not necessarily need its own transport fleet or a complicated travel-management infrastructure to begin bringing greater structure to employee mobility.
This matters for SMEs as much as it does for large organisations.

As companies grow, informal processes that worked for ten employees can become increasingly difficult to manage with 100. What begins as the occasional transport reimbursement can eventually become hundreds of transactions requiring approval and reconciliation.

For a business leader, the question is therefore not simply how much the company spends on employee transport. It is how much time the organization spends managing that spending.

That is a conversation Finance, HR and Operations should be having together.

Moving from transport expense to mobility strategy

This is where corporate mobility platforms such as Bolt for Business have a role to play. Rather than treating every work trip as a separate transaction, businesses can give employees access to rides while managing business travel, billing and trip information through a central platform.

The value is not simply in booking a ride, it is in bringing the journey and the administration around it into the same system.

For Businesses, that can mean less reliance on individual reimbursements and manual coordination, while giving Finance and management greater visibility over work-related travel. It also removes some of the bureaucracies and small but recurring tasks that employees encountered arranging transport for work.

However, that does not mean every company needs the same solution.

A professional services firm sending employees between client meetings will have different requirements from a hospitality company managing shift workers or a growing SME whose teams travel occasionally.

What matters is that businesses begin by understanding the journeys they are paying for, how those journeys are currently managed and where time is being lost in the process.

Corporate mobility may never be the biggest line on a company’s balance sheet. But the processes surrounding it can quietly consume time across Finance, HR, Operations and employees themselves.

As Ghana’s businesses become increasingly digital, the opportunity is not simply to digitise the ride.

It is to remove the unnecessary work around it.
